VaultBot Terms of Service
Effective date: 26 August 2026
These Terms govern use of VaultBot, operated by William Smailes, based in England, United Kingdom (“VaultBot”, “we”, “us”). Contact: vaultbot.developments@gmail.com.
1. Acceptance and eligibility
By installing, configuring or using VaultBot, you agree to these Terms and confirm that you may use Discord under its Terms. A person installing VaultBot must be authorized to act for that Discord server. Do not use VaultBot if you cannot agree.
2. Discord rules
You must comply with Discord's Terms of Service, Community Guidelines, applicable Developer and platform rules, and applicable law. VaultBot is an independent service and is not Discord.
3. Server responsibility
Server owners control which modules are enabled, roles and capabilities, channels, rules, thresholds, scheduled content, retention choices and paid plan. They are responsible for lawful configuration, informing members, restricting staff access, placing VaultBot's role safely, reviewing logs and false positives, providing appropriate review or appeal routes, and repairing deleted role or channel references.
4. Moderation and AutoMod
VaultBot can record warnings, delete messages, notify staff, time out, kick or ban when authorized staff act or configured automation triggers. Automated detection is rule-based and can miss violations or create false positives. VaultBot does not replace human judgment. We do not guarantee that every harmful message is caught or every action succeeds.
5. Scam reports and reputation
Scam reports are allegations until reviewed. Server staff must investigate fairly and comply with law. Vouches and reputation indicators reflect user and staff activity, not a guarantee of identity, honesty, product quality or transaction safety. Farming, trading, coercing, duplicating or manipulating vouches is prohibited.
6. Prohibited use
You must not use VaultBot to break law or Discord rules; harass, discriminate, defraud or expose private information; collect unnecessary personal information; send spam or malicious links; manipulate reports or reputation; evade permissions or plan limits; probe or exploit the service; interfere with infrastructure; obtain another guild's data; expose credentials; or automate access except as lawfully permitted.
7. Availability and changes
VaultBot may be unavailable during maintenance, provider incidents, Discord or Stripe changes, rate limits or security response. Features may change with reasonable notice where practical. Beta and trial functionality may be incomplete, change or end. No uninterrupted or error-free availability is promised.
8. Backups and recovery
In-app backups are guild-configuration recovery snapshots, not complete Discord or PostgreSQL backups. Restores may overwrite selected stored configuration and remain subject to schema, integrity and plan checks. We do not guarantee recovery of Discord messages, deleted Discord resources or every external action.
9. Plans
VaultBot may offer Free, Premium and Pro plans with different capacity, configuration and automation features. Current limits displayed by /plan status and /plan compare are enforced by the backend. Current checkout pricing and taxes are displayed by Stripe before payment.
Trials are temporary and may be revoked for abuse. A downgrade preserves stored configuration where practical, but items and features above the lower plan allowance are suspended immediately and provide no active benefit until capacity or entitlement is restored.
10. Billing
Stripe processes checkout, payment methods, invoices and the billing portal. Paid subscriptions renew on the billing schedule displayed by Stripe until cancelled. Taxes may apply. Users must provide accurate billing information and are responsible for authorized charges.
Upgrades and downgrades may be prorated as Stripe displays before confirmation. Cancellation and plan changes take effect according to Stripe's confirmation and subscription state. VaultBot activates entitlements only after verifying signed Stripe events.
11. Refunds
Payments are non-refundable except where a refund is required by applicable law. This includes unused portions of a billing period, plan downgrades and removal of VaultBot from a server. We may issue a discretionary refund where a duplicate charge or verified service error justifies one, but doing so does not create an ongoing entitlement to refunds. Contact vaultbot.developments@gmail.com with the Stripe invoice reference and relevant Discord guild ID. Nothing in these Terms limits non-waivable consumer rights.
12. Suspension and termination
We may suspend or terminate access for security threats, fraud, abuse, non-payment, legal requirements, Discord or platform enforcement, or material breach. Server owners may remove VaultBot and cancel paid service through Stripe. Removing the bot does not cancel Stripe automatically and does not immediately erase audit, billing or recovery records; see the Privacy Policy.
13. Intellectual property
VaultBot software, branding and documentation are owned by William Smailes or the applicable licensors. These Terms grant only a limited, revocable right to use the hosted service. Discord names and content and user-provided material remain subject to their respective rights.
14. User content
You retain rights in content you submit. You grant us the limited rights needed to process it for VaultBot, security, support and legal compliance. You represent that you may submit and configure that content.
15. Disclaimers
To the extent permitted by law, VaultBot is provided “as is” and “as available”. We do not guarantee that VaultBot prevents scams, verifies trustworthiness, catches every violation, preserves every record, or makes correct automated decisions. Staff remain responsible for consequential moderation and commercial decisions.
16. Liability
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded. Subject to those exceptions and to the extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, revenue, business, goodwill or data, or decisions made using moderation, reputation or scam-report information. Our aggregate liability arising from VaultBot in any 12-month period is limited to the greater of £100 or the subscription fees paid for the affected server during that period. Mandatory consumer rights remain unaffected.
17. Indemnity
No contractual indemnity is imposed by these Terms. Each party remains responsible for its own acts, omissions and legal obligations.
18. Changes, law and disputes
We may update these Terms with reasonable notice for material changes. Continued use after the effective date indicates acceptance where law permits.
These Terms and non-contractual disputes are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, except where mandatory consumer law gives a user the right to bring proceedings elsewhere. Please contact vaultbot.developments@gmail.com first so we can try to resolve a dispute informally.
